How to stop forgetting bills, renewals and due dates

By Fenil Shah · · 4 min read

Most of us do not forget the big things. We forget the quiet ones: the electricity bill that falls due on a busy week, the insurance renewal that arrives once a year, the subscription that renews on a date we never wrote down. Missing them costs money, in late fees, lapsed cover or a service cut off, and it costs a little peace of mind.

The good news is that this is a systems problem, not a memory problem. Here is a simple routine that works for most households.

Step 1: Write everything down once

Spend twenty minutes making a single list of everything that has a due date. Check your bank statements, your email and your phone for recurring payments. Include:

  • Monthly: electricity, water, gas, internet, phone, rent, credit card, loan EMI
  • Quarterly or half-yearly: property tax, maintenance, school fees
  • Yearly: insurance (health, vehicle, term), vehicle pollution check, domain and hosting renewals, passport or licence renewals, annual subscriptions
  • Occasional: warranty expiry dates, medical check-ups, tax filing

Step 2: Put each item in a reminder with a real date

Enter each item as its own reminder with its own due date. Do not put several in one note. Repeating items should repeat automatically, daily, weekly, monthly or yearly, so you only set them up once.

Step 3: Remind yourself early, not on the day

The most common mistake is setting the reminder for the due date itself. By then it may be too late to do anything. Use two reminders instead:

  • A heads-up, about 5 to 7 days before, which gives you time to arrange money or paperwork.
  • A last call, one day before or on the day.

For yearly items such as insurance, set the heads-up for 2 to 4 weeks ahead so you can compare options and not just renew in a hurry.

Step 4: Sort by category

Group your reminders into categories such as Home, Bills, Family and Work. When your list is organised, you will actually look at it. A calendar view helps you spot a crowded week, such as the first of the month, when several bills land together.

Step 5: Add a backup for the ones that really matter

Notifications are easy to miss. Your phone might be on silent, or you may swipe the alert away without thinking. For the items with real consequences, such as a loan EMI, an insurance renewal or a visa deadline, use a second channel.

In Smart Reminder, you can switch on an email reminder for any task. If the task is still pending or snoozed after its due time, the app sends you a backup email. The check runs about every 15 minutes, so the email arrives within minutes of the check, not at the exact second. Read more in our guide to reminders with an email backup.

Step 6: Take the 5-minute weekly review

Pick a fixed time each week, such as Sunday evening, and spend five minutes looking at the coming seven days. Mark what is done, move what is not, and add anything new. This habit catches almost everything the reminders do not.

Step 7: Automate what you can

Where it is safe, set up auto-pay for fixed bills, and keep a reminder anyway to check the amount. For annual renewals, ask whether the provider offers a longer plan. Automation reduces the number of things you have to remember, but it does not replace a reminder, because cards expire and payments fail.

Limits to keep in mind

No app can guarantee a notification, because phones switch off and networks fail. If something is critical, add a second safeguard, such as a calendar entry or a family member who knows the date. If your notifications seem unreliable, see our checklist for when phone reminders do not fire.
